Booking a Speaker
Through the Inquiring Mind program, you can bring dynamic and informative speakers and performers to your community and experience living history.
Please be sure to read this page carefully, as some program policies have changed
2009-2010 Program Guidelines
- Inquiring Mind speaker programs are available on a first-come, first-served basis. However, Humanities Washington has committed funds to provide a minimum of one free program per county.
- Beyond the one-per-county restriction, applications will be considered on a case by case basis
- Because of funding limitations, we are not able to offer organizations more than one free program from July 1, 2009- June 30, 2010. However, any organization can obtain any 2009-2010 speaker at a standard honorarium rate of $300/presentation.
- Booking organizations will be expected to pay for program publicity and negotiate and pay speaker travel and per diem costs with the presenter. Unfortunately, $150 publicity and travel stipends are not available for the 2009-2010 Inquiring Mind season.
- During the 2008-2009 season, a one-time $50 annual booking fee was required to host Inquiring Mind presentations. These booking fees are no longer required.
- Humanities Washington Quick Grants are not available to fund Inquiring Mind speaker programs.
Booking a Speaker
NOTE: Applications must be received at least eight weeks before the program date to be considered!
Humanities Washington will confirm receipt of your application and availability of program funds within two weeks of your application’s postmark date.
Once your presentation has been confirmed (at least 6 weeks prior to the presentation)
- Request publicity information and photos from the speaker (or check the Humanities Washington speaker page for information on and photos of each speaker).
- Publicize your event in advance using press releases, fliers, posters, and/or printed programs.
- Send an invitation to your legislators inviting them to attend the presentation (see template; find your legislators).
Two Weeks Prior to the Presentation
- Confirm the date, time and location with the speaker. Ask if the speaker requires any special equipment or arrangements, and clarify how the speaker would like to be introduced.
Just Prior to the Program:
- Download the sign-in sheet for guests and audience members from the Humanities Washington Web site. Previously, Humanities Washington asked booking organizations to print audience evaluation forms as well. We are not collecting them this year, however. Instead, please encourage attendees to sign the sign-in sheet, as it helps Humanities Washington demonstrate continued need for the program, and will be used to solicit program feedback in the future.
- Download the introductory script from the Humanities Washington Web site. Please use this script, as it is important to acknowledge the support of the Washington State Legislature and Humanities Washington!
- Place necessary equipment (lectern, microphone, projector, etc) at the site and test electronic equipment.
Within Two Weeks after the Program:
- Reimburse the speaker for negotiated travel expenses after receiving his/her reimbursement request.
- Send a thank-you letter to your legislators for supporting Inquiring Mind (see template)
- Complete and return to Humanities Washington (these must be returned in order to book again).
- Cost-sharing report
- Final evaluation
- Samples of publicity materials and press coverage
- The audience sign-in sheet
- A copy of legislator thank-you letter
Other program information:
- Speaker events must be open to the public and offered free of charge.
- Booking fees are no longer required to host Inquiring Mind presentations.
- Quick Grants are no longer available for our Inquiring Mind Speakers Bureau.
